Privacy Policy

This policy explains what personal information Your Website Friend (“YWF,” “we,” “us”), a trade name of Tetra Media LLC, collects, how we use it, and the choices you have. It covers two things:

• Our own website, yourwebsitefriend.com, and our dealings with the businesses that work with us.
• Our clients’ sites that run on our platform. On those sites, the business you are dealing with decides what information is collected and why. We store and process it on their behalf.

1. Information we collect on our website

• What you send us: your name, email, phone, business name, and message when you use our contact form, request a website grade, book a call, or sign up.
• Payment details: when you sign up online, your card is handled by Stripe. We never see or store your full card number.
• How you found us: the page you landed on, the referring site, and campaign tags in the link (UTM tags), so we know which marketing works.
• Usage and device data: pages viewed, browser, device type, and approximate location, collected through Google Analytics.

2. Information on our clients’ sites

When you book, register, buy, or sign up on a site we run for one of our clients, that business collects information such as your name, contact details, booking and purchase history, signed waivers, and anything you enter in their forms. For youth programs this can include a participant’s name, age, and details provided by a parent or guardian.

The business is in charge of that information. We host and process it for them, keep it separate from every other business’s data, and use it only to run their site. Payments on those sites go through the business’s own Stripe account. If you have a question or request about your information on one of these sites, contact that business first. We will help them respond.

3. How we use information

• To reply to you, run calls, and send quotes
• To build, run, support, and secure our services
• To bill for our services
• To send service emails such as receipts, confirmations, and account notices
• To send our own updates, which you can unsubscribe from at any time
• To understand and improve our website and marketing
• To meet legal and tax obligations

We do not sell personal information. We do not use our clients’ customer data to market our own services, and we do not share it with advertisers.

4. Children

Our own website is meant for business owners and is not directed at children. Some of our clients run youth programs, and their sites may collect a child’s information when a parent or guardian provides it, for example to register the child for a program. We handle that information only on the client’s behalf and only to run their service. A parent or guardian can ask the program, or us, to review or delete it.

5. Cookies and similar tools

• Google Analytics sets cookies to measure visits. You can block them in your browser settings or with Google’s opt-out add-on.
• Spam protection from Cloudflare Turnstile checks that forms are filled in by a person.
• Your browser’s local storage remembers how you arrived (for lead tracking) and whether you closed a pop-up, so we don’t show it again.
• Sign-in cookies keep you logged in on admin and member areas of the platform.

6. Services we rely on

We share information with these providers only so they can run part of our service for us:

• Supabase: database and sign-in
• Vercel: website hosting
• Stripe: payments
• Resend: email delivery
• Google: analytics, calendar, and business email
• Cloudflare: spam protection
• Mux: video, where a client uses video features
• QuickBooks (Intuit): our own accounting

We may also share information if the law requires it, or to protect our rights or someone’s safety. If our business is ever sold or merged, information may transfer to the new owner under this policy.

7. How long we keep information

• Client platform data is deleted 30 days after a client’s subscription ends, after they have had the chance to export it.
• Inquiries and leads are kept while they are useful for following up, and deleted on request.
• Billing and tax records are kept as long as the law requires.

8. Security

We use encryption in transit, access controls, and separation between each client’s data. Only people who need access to provide our services have it. No system is perfectly secure. If we learn of a breach that affects your information, we will tell you and, where required, the authorities.

9. Your choices and rights

You can ask us to show you, correct, export, or delete the personal information we hold about you, and you can unsubscribe from our marketing emails at any time. Depending on where you live, you may have other rights under local law. Email us and we will respond within 30 days.

10. Changes to this policy

If we make a significant change, we will update the date above and, for our clients, tell them by email.
